Rejecting Applicantions
A letter rejecting an applicant who had been tentatively accepted for a position should begin positively. It should state that the applicant had been carefully considered before being passed up, and provide at least some reason for the rejection.
Letter 1
Dear [[Recipient]]:
To keep you up-to-date on the status of your resume it has been further reviewed by managers directly interested in your specific abilities.
Although our needs are constantly changing, we have not been able to identify an appropriate opportunity for you at this time.
We thank you for your interest in the ABC Corporation, and wish you well in locating a position.
Letter 2
Dear [[Recipient]]:
Your application has been carefully considered again by our corporate management team.
Your qualifications are impressive; however, we have made an offer to a candidate who has a background in this industry and whose recent experience is directly related to the available position.

A letter dealing with the rejection of job applicants, although negative, should be both cordial and respectful. It should also begin positively by stating that the applicant had been carefully considered before being passed up, and provide at least some reason for the rejection.

As you might imagine, our operations and employment requirements are continually expanding and changing. We have placed your resume in our future reference file where it will be reviewed again as openings in your area of interest become available.
We sincerely appreciate your interest in becoming associated with our organization. We regret that this response cannot be more favorable, and we wish you well in locating the opportunity you desire.

Thank you very much for giving us the opportunity to consider you for employment.
After carefully considering your background and qualifications, we find that we do not have an appropriate position for you at the present time. Should one develop, we shall be in touch with you.

Thank you for sending your resume and giving us the opportunity to consider you for the accounting manager’s position.
Our personnel and financial officers have thoroughly reviewed your qualifications. They are excellent but do not quite fit the position we have in mind at the present time. Your technical experience is notable, especially in the area of tax accounting, but right now we need someone who is stronger in supervisory experience.
We will keep your file active, and when promotions create an opening to fit your qualifications, we will write or call you.
